Join Luma Health as a Field Marketing & Event Manager (Contract) and lead the planning and execution of impactful in-person events. You will manage event logistics, sponsorships, and vendor relationships, while driving event attendance and ROI. This role requires strategic planning, financial alignment, and cross-functional collaboration. You will utilize project management tools and design skills to ensure brand consistency. The position demands independent leadership and meticulous record-keeping. The pay range is $57-$62/hour USD for a 40-hour work week (benefits not included).

Responsibilities
- Lead the planning and execution of in-person events, including sponsorships at external events, trade shows, and conferences
- Plan and execute company-hosted events such as multi-day conferences, private dinners, and evening receptions
- Coordinate all aspects of event logistics, including venue sourcing (RFP process), vendor negotiations, travel arrangements, and onsite execution
- Serve as the primary point of contact during events, facilitating day-of coordination, managing onsite teams, and ensuring seamless attendee experiences
- Use Salesforce to create and track event ROI
- Create promotion plans to drive event attendance
- Collaborate with sales team to follow up pre and post event
- Upload lead lists to Salesforce and enable follow up campaigns
- Identify key opportunities for event sponsorships, brand presence, and high-impact hosted experiences, building a forward-looking event strategy aligned with annual budgets
- Collaborate with the Revenue department to prioritize event investments that support financial goals and broader business objectives
- Maintain a long-term event roadmap to ensure consistent, strategic representation in target markets and industries
- Develop and maintain relationships with key vendors, including swag suppliers, warehousing partners, hotel sales teams, and conference organizers
- Oversee hard goods production, shipping, and onsite logistics to support events
- Negotiate sponsorship contracts, manage budgets, and oversee accounts payable documentation, including invoices and receipts
- Utilize shared project management tools such as ClickUp, Google Drive, and Slack to map out event timelines, deadlines, deliverables, and cross-functional tasks
- Collaborate with design teams to identify creative needs, develop design briefs, and provide specifications for event materials
- Leverage independent design skills to create visuals in Canva as needed, ensuring brand consistency and high-quality output
- Partner with sales and leadership teams to develop pre-event prep and training materials
- Facilitate post-event debriefs, including reporting on outcomes and recommendations
- Liaise with internal marketing teams for demand generation, CRM updates, and social media support as needed
- Maintain meticulous records of event budgets, sponsorships, and operational details to support accurate reporting and strategic planning
- Create clear, concise updates for leadership through presentations, spreadsheets, and regular check-ins
- Independently manage swag production, business card ordering, and the coordination of promotional materials for all events
- Operate autonomously as an independent contractor, seamlessly managing all aspects of event production while providing regular updates to stakeholders
- Identify opportunities to enhance event impact through proactive problem-solving and collaboration with cross-functional teams
