Requirements
- 2+ years in a fast-paced, high-performance environment—this could be a top-tier consultancy (e.g., McKinsey, Bain, BCG), investment bank (e.g., Goldman Sachs, J.P. Morgan), venture capital/private equity firm, or a high-growth startup
- Excellent written and verbal communication skills with the ability to present insights and influence stakeholders across all levels of the company
- Strong ability to analyze business problems, synthesize insights, and develop actionable recommendations
- Experience in project management and process optimization with a track record of improving efficiency and execution
- A strong understanding of business strategy frameworks, implementation of strategic goals, tracking, and communicating progress
- Data-driven mindset with experience working with a variety of AI tools, Excel/Google Sheets, Slack, Notion, and Miro; SQL proficiency is a strong plus
- A strong executor who not only gets things done but builds systems, processes, and frameworks that scale
- Ability to work cross-functionally and autonomously, driving initiatives with little oversight
- Experience in supporting senior leadership and managing confidential information with discretion
- Highly proactive and self-motivated, with a bias for action and problem-solving
- Comfortable with ambiguity and thrives in a fast-moving, dynamic environment
- Strong attention to detail and organizational skills ensuring nothing falls through the cracks
Responsibilities
- Act as a key partner to the CEO and COO, ensuring their priorities are executed effectively and efficiently
- Own calendar management, scheduling, and coordination of key meetings with internal and external stakeholders
- Set meeting agendas, run meetings in the absence of the CEO/COO, take minutes, and follow up on actions to ensure accountability and progress
- Manage travel arrangements, expense tracking, and other administrative duties to optimize executive time
- Conduct deep dive analyses into company-wide challenges, using data-driven insights to inform decision-making and improve performance
- Track and enhance key business metrics, ensuring that all departments are set up for success and are accountable for results
- Work closely with the CEO & COO to prepare reports, presentations, and strategic documents for board meetings and company-wide updates
- Support the COO in building scalable frameworks, automation, and best practices to enable Prolific’s rapid growth
- Identify bottlenecks and inefficiencies in current workflows, designing and implementing improvements to enhance productivity
- Develop and maintain project tracking systems, ensuring timely execution and follow-through on key initiatives
- Work closely with Product, GTM, Finance, and other teams to drive strategic alignment and execution
- Support hiring efforts by coordinating recruitment processes and onboarding new team members
- Take on office management duties at Prolific’s new London hub at Kx, ensuring smooth day-to-day operations, maintaining office supplies, and supporting a productive workspace environment
