You will coordinate high-stakes travel, manage calendars, and handle operations for U.S.-based medical staff. This role combines elements of an executive assistant, dispatcher, and problem solver. You will be responsible for managing calendars, arranging travel, handling last-minute issues, acting as a liaison between providers and the U.S.-based scheduling team, submitting expenses, staying on top of licensing and compliance, keeping teams stocked, and using tools to streamline operations. This position requires strong organizational skills, the ability to work under pressure, and excellent communication skills.

- Communicate clearly and stay on top of details
- Pick up new tools fast — spreadsheets, booking software, scheduling platforms
- Are ready to learn how healthcare providers work and move
- Stable internet + quiet, professional home setup required
Responsibilities
- Manage calendars for nurse practitioners (NPs) and medical assistants (MAs) — plan ahead, adjust on the fly
- Arrange all travel — book flights, hotels, rental cars
- Handle last-minute issues — delays, cancellations, sudden changes
- Act as the link between providers and the U.S.-based scheduling team
- Submit expenses and keep travel costs in check
- Stay on top of licensing, credentialing, and compliance across multiple U.S. states
- Keep teams stocked — gear, devices, medical supplies
- Use tools to streamline scheduling, reporting, and coordination
- Be available when providers are on the move — including evenings and weekends when needed
