Summary
Join TrueML's People Team as a detail-oriented HR Compliance Assistant. You will ensure HR policies, processes, and platforms meet regulatory requirements, maintain the background check program, support new hire onboarding, and manage compliance-related systems and audits. Responsibilities include reviewing background check results, managing the annual background check process, maintaining employee files, monitoring state registrations, and conducting system audits. You will also support pre-boarding and onboarding tasks, maintain Confluence content, and provide support for People platforms. Compliance tasks include posting labor law posters and assisting with internal audits. This role requires strong attention to detail, excellent communication, and experience in HR compliance.
Requirements
- 2 years of experience in HR compliance, operations, or a similar role
- Experience with platforms like Go1, Confluence, Rippling, Enboarder, or similar HR tech tools and HRIS systems
- Familiarity with background check procedures, HRIS platforms, and onboarding processes
- Strong attention to detail and a proactive approach to identifying and resolving issues
- Strong judgment on when and how to escalate concerns
- Comfortable working with confidential information and handling sensitive data with discretion
- Experience liaising with multiple internal departments
- Excellent communication skills and a collaborative mindset
- Excellent time-management skills
Responsibilities
- Review background check results for all new hires and escalations, ensuring timely follow-up and documentation
- Own and manage the annual background check process, including coordination with third-party vendors and internal stakeholders across the organization
- Maintain and audit high-risk role classifications to ensure permissions are in line with role requirements
- Partner with Recruiting, People Operations, and People Programs to ensure pre-boarding tasks are completed
- Support smooth onboarding experiences through timely and accurate compliance checks
- Maintain and audit electronic employee files, especially during new hire setup, status changes, and other transitions
- Monitor new state registrations for workersβ compensation and other compliance needs
- Conduct routine sweeps of Confluence content for accuracy and ensure information is current and aligned with Company policies and procedures
- Provide ongoing support for People platforms, especially where system integrations fall short
- Audit employee Social Security numbers using Social Security Number Verification Service (SSNVS)
- Audit employee data changes across multiple platforms for accuracy and omissions
- Coordinate the posting and updating of labor law posters across applicable work sites and digital locations
- Assist with internal audits and compliance reviews as needed (e.g., I-9, wage/hour, documentation, customer-requested)
Preferred Qualifications
- Experience with new hire onboarding processes and maintenance of an EOR vendor relationship
- Exposure to multi-state HR compliance requirements
- Knowledge of high-risk or regulated role frameworks (e.g., IT admin access, finance roles)
