Summary
Join Conversant Group, an IT infrastructure and security consulting company, as their IT Contracts and Billing Specialist! You will be responsible for managing all aspects of IT service contract processing, working closely with various departments. This role requires a deep understanding of order-to-cash and CPQ processes. You will ensure accurate and timely information for billing, track financial milestones, and maintain compliance with regulations. The position offers opportunities for process improvement and collaboration with cross-functional teams. This role reports to the Sales Operations Manager and is part of the Operations Team. The position may require occasional work outside of normal business hours.
Requirements
- Deep understanding of the order-to-cash process
- Detailed experience of CPQ processes such as order and contract management
Responsibilities
- Oversee clean booking / deal closure, ensuring alignment and consistency between contract briefs and data across cross-functional systems (Salesforce and Connectwise PSA)
- Create and manage client contracts and projects in our billing system, including auditing and adjusting existing contracts
- Coordinate with internal stakeholders (including C-Level executives) to clarify and gather missing information or resolve ambiguous information for new contracts and projects
- Track financial milestones in contracts, such as COLA, and service consumption / true-ups
- Ensure accuracy and timeliness of information to the Billing Department for customer invoicing
- Deploy managed software licensing based on client and internal orders
- Engage with managed software licensing vendors to resolve disputes and clarify contract specifications
- Support monthly, quarterly, and fiscal year-end close processes, ensuring accuracy in reporting and timely completion of tasks
- Deliver enablement and training on order-to-cash and clean booking best practices
- Ensure compliance with federal, state, and international regulations, especially ITAR (International Traffic in Arms Regulations) and EAR (Export Administration Regulations)
- Assist the IT Purchasing and Logistics Specialist, when necessary, with efficient and accurate processing of equipment and related software / licensing renewal orders
- Advise on enhancements to existing processes as business scales
Preferred Qualifications
- Bachelor's degree in Accounting, Business Administration, Finance, or a related field
- 2+ years of experience in a finance, purchasing, procurement, operations, or related role
- Knowledge of IT and Cybersecurity services
- Proficiency in using CRM and PSA systems (e.g., Salesforce, ConnectWise)
- Proven experience in processing complex service contracts in a fast-paced environment
- Strong understanding of sales processes, pricing strategies, and contract management
- Excellent analytical, problem-solving, and project management skills
- Experience working with cross-functional teams including Sales, Finance, and Services
- Detail-oriented with a strong focus on accuracy and compliance
- Exceptional communication and interpersonal skills
- Ability to drive process improvements and adapt to changing business needs
