Requirements

  • Proven experience as an HR Assistant, Office Manager, Executive Assistant, or in a similar administrative role
  • Exceptional organizational and multitasking skills with strong attention to detail
  • Excellent written and verbal communication skills in Greek and English
  • Proficiency in office management tools (e.g., Google Workspace, MS Office) and scheduling software
  • Strong interpersonal skills and the ability to build positive working relationships across teams
  • Discretion and trustworthiness in handling confidential information
  • Problem-solving mindset with the ability to work independently and under pressure

Responsibilities

  • Manage daily operations of the Limassol office, ensuring a well-organized, efficient, and welcoming environment
  • Coordinate with vendors and service providers for office supplies, maintenance, and other needs
  • Act as a member of the HR team for 50% of your time to help them keep track of employee records, onboarding, benefits and guidance for more than 160 LearnWorlders
  • Work closely with internal teams such as Finance ie. invoices and provider payments
  • Plan and organize team events, meetings, and activities
  • Handle office budget tracking and reporting
  • Prepare meeting agendas, take minutes, and ensure follow-ups are executed
  • Assist with administrative tasks for the CEO as required
  • Coordinate communication and workflows between the CEO and other departments or stakeholders
  • Support other C-level executives as needed with scheduling, travel planning, and correspondence
  • Help prepare reports and process documentation
  • Maintain confidentiality and handle sensitive information with discretion
