Summary
Join Concentric, a global risk consultancy, as an Operations Assistant supporting multiple service delivery teams. This remote-work-eligible position based in Kirkland, Washington, requires accurate and timely data entry in Salesforce and Monday.com. You will coordinate with various sub-teams, review expense and customer/subcontractor invoices, and prioritize tasks to meet departmental needs. The role demands strong communication, multitasking, and time management skills, along with experience in fast-paced environments. Requirements
- 2-3 years prior data entry and administrative experience
- Technically savvy and proficient with Google Workspace, Salesforce, & Slack
- Experience and success working in fast-paced environments with time-sensitive tasks and deadlines
- Strong interpersonal skills
- Proven experience with confidential and sensitive information
- Detail-oriented, organized, and efficient
- Excellent skills in communication (in-person and virtual), multi-tasking, and time management
- This position requires up to 10% travel
Responsibilities
- Enter data in Salesforce and Monday.com (or other similar systems for project/task management and sales order tracking) based on proposals, requests for services, and active service delivery tasks
- Ensure both accurate and timely data entry and record updating so that the automated workflows in the systems can trigger important alerts and tasks for other business units
- Coordinate with up to 16 distinct sub-teams within our service delivery team to ensure that all tasks, service orders, and sales orders are kept up to date in the critical systems daily
- As directed, review expense reports for accuracy (report matches receipts) and adherence to policy
- As directed, review customer invoices for accuracy, making sure invoices match the actual project/service delivery details
- As directed, review subcontractor invoices for accuracy based on the details of the project/service they were assigned to support
- Demonstrate a command of Salesforce & Monday.com systems utilized and ensure that information entered is consistent
- Prioritize work in a manner that addresses the needs and priorities of other departments or process owners
- Demonstrate flexibility in working with various employees and departments to both ensure timely procedural completion while demonstrating teamwork and an eagerness to help others
Preferred Qualifications
- 3+ years prior administrative experience
- Previous experience with Monday.com systems
- Previous experience supporting cross-functional teams and multiple stakeholders, including senior leaders or senior managers
