Summary

Join Convergent Research, a non-profit science studio, as their Operations Manager. You will be responsible for maintaining compliance across various aspects of the organization, including entity registrations, insurance policies, documentation, and IT/facilities vendor management. This role requires a highly organized individual with strong problem-solving and communication skills who can juggle multiple tasks and proactively address compliance issues. Convergent offers a competitive salary, excellent benefits including comprehensive health insurance, paid time off, and professional development opportunities, and the chance to contribute to groundbreaking scientific research.

Requirements

  • Be a compliance guardian – but with a pragmatic edge. Understand the importance of rules, regulations, and documentation, and make sure we’re always on the right side of them. At the same time, know that compliance isn’t about saying “no” – it’s about finding a way to get to “yes” while staying within the guardrails. Balance structure with flexibility, ensuring that regulations support, rather than hinder, progress
  • Be a resourceful problem-solver – Our FROs are often venturing into uncharted territory, and love figuring things out when there’s no clear playbook
  • Be a great communicator – Keep internal and external stakeholders informed, nudge people when needed (with persistence and kindness), and know when a quick call beats an email chain
  • Be highly organized and detail-obsessed – Catch the small stuff before it turns into a big problem, and keep meticulous records. Spreadsheets, Notion pages, compliance documentation? Have it all under control. But also know that sometimes priorities shift, and can recalibrate quickly without losing sight of the big picture
  • Be a master juggler – Startups move fast. Shift priorities on the fly, manage multiple tasks at once, and still keep everything running smoothly. Have a keen sense of when to be rigorous and when to be flexible, making judgment calls that keep things moving forward without unnecessary bureaucracy

Responsibilities

  • Own our entity registrations – Work with our Legal, HR, and Finance teams to ensure all FROs have the right registrations in place (and yes, that means some paperwork)
  • Manage our insurance broker – Ensure every FRO has the right coverage, oversee annual renewals, and handle new policy setups—all while staying compliant with regulations
  • Keep our documentation audit-ready – Take ownership of our Notion knowledge base, ensuring policies and processes are clear, up to date, and ready for internal and external audits
  • Be the go-to for IT and facilities compliance – We work with external vendors for both, but you’ll be the point person making sure they meet our security, privacy, and operational standards
  • Assist with grant compliance – Help with government and private grant submissions, ensuring we meet all requirements and have the right documentation to back it up
  • Become our primary point of contact for compliance-related questions in insurance, facilities, and IT—if something comes up, you’re the one with the answers
  • Complete a comprehensive compliance review of our documentation, identifying gaps and making improvements to ensure we meet all regulatory requirements
  • Be the go-to person for any new FRO activities that impact filings, insurance, permitting, and compliance—ensuring nothing falls through the cracks
