Requirements

  • Proven experience as an Executive Assistant, Project Coordinator, or similar role
  • Proficiency in Asana, Slack, and other productivity tools
  • Exceptional organizational and time management skills
  • Strong written and verbal communication abilities
  • Ability to handle confidential information with discretion and professionalism
  • Strategic thinker with a proactive approach to problem-solving
  • Access to a reliable laptop with a stable internet connection and power backup
  • Familiarity with the Google Suite (Docs, Sheets, Slides)

Responsibilities

  • Utilize Asana and other project management tools to monitor, review, and organize daily tasks
  • Prepare concise summaries of the day’s tasks for the executive team
  • Review incoming emails, prioritize and respond where appropriate, and flag critical issues for the executive team
  • Manage Slack communications, ensuring messages and updates are addressed in a timely manner
  • Attend meetings, take comprehensive notes, and email detailed summaries to participants promptly
  • Assist in scheduling meetings and managing the executive calendar
  • Draft agendas for all retainer clients, ensuring alignment with client priorities and goals
  • Prepare internal agendas for team meetings and follow up on progress across projects
  • Check on the status of ongoing projects, ensuring deadlines are met and tasks are on track
  • Collaborate with team members to resolve bottlenecks and keep the executive informed of updates
  • Develop weekly marketing ideas and strategies in collaboration with the executive team
  • Research trends and opportunities to enhance the company’s marketing efforts

Preferred Qualifications

Experience in marketing or strategy development is a plus
