Requirements

  • Bachelor's degree in business administration, communications, or a related field preferred
  • Proven experience providing high-level administrative support to senior executives in a fast-paced environment
  • Excellent organizational and time management skills, with the ability to prioritize tasks and meet deadlines effectively
  • Exceptional written and verbal communication skills, with a keen attention to detail and accuracy
  • Ability to work independently with minimal supervision, while also functioning as an integral member of a collaborative team
  • Flexibility to adapt to changing priorities and navigate complex situations with tact and diplomacy
  • Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software applications

Responsibilities

  • Track and analyze key performance indicators (KPIs) for the sales team, providing weekly updates and reports to the SVP
  • Support the company’s HR, Finance and Legal functions and needs
  • Oversee company administrative tasks, including scheduling appointments, managing calendars, and handling correspondence on behalf of the SVP
  • Identify, coordinate and manage logistics for trade shows and other events
  • Coordinate and manage proposals (scope of works) for customers
  • Review and reconcile company expense reports, ensuring compliance with company policies and procedures
  • Manage procurement and supplier systems for our customers ensuring we are compliant, and addressing any customer inquiries or concerns
  • Ensure company information, documentation and equipment is correctly handled and stored
  • Assist in updating company handbooks, policies and other important documentation
  • Assist with special projects and initiatives as assigned by the SVP, leveraging strong problem-solving skills and attention to detail to drive successful outcomes
