Summary
Join KnowBe4's Engineering team as an experienced administrator to lead and manage all administrative and operational functions. You will oversee the sector's financials, implement streamlined processes, mentor team members, and provide executive support to the CTO. Responsibilities include budget management, vendor relations, hiring, and communication planning. You will also collaborate with HR and Finance on headcount and organizational changes. This role requires strong leadership, process improvement skills, and proficiency with various tools. Requirements
- BS or BA or equivalent or equivalent work experience
- Experience using Google Drive, Docs and Sheets
- Previous experience in a management role overseeing operational functions
- Demonstrated experience in budget management and financial planning
- Experience in process improvement and implementing operational systems
- Capable of spotting unclear or broken processes, working with different teams to fix them, and leading their implementation
- Experience with managing or tracking departmental budgets, vendor licenses, and operational costs
- Proficiency with Google Workspace tools (Gmail, Sheets, Slides)
- Proficiency with tools such as Jira, Slack and Smartsheet (including building workflows and automation)
- Comfortable balancing big-picture operations work with executive support tasks
- Experience in managing teams, including delegating tasks, mentoring team members, and having performance discussions
- Excellent at understanding organizational dynamics and communicating effectively, able to influence others without formal authority
- A proactive self-starter who tackles unclear problems and finds solutions independently, without needing close supervision
Responsibilities
- Manage all administrative and operational functions for the Engineering sector
- Manage the engineering sector financials, including budget planning, resource allocation, and cost optimization initiatives
- Develop and implement streamlined processes and systems to enhance operational efficiency and support sector growth
- Manage and mentor EngOps team members
- Provide genuine recommendations as to the hiring, firing, promotion, and discipline of subordinate employees to which the Company gives significant weight
- Provide executive support to the CTO, including calendar management, travel coordination, and engineering-wide communication planning
- Act as the main contact to HR and Finance for headcount management, hiring, title/comp changes, or organizational restructuring
- Own and proactively make cross-functional improvements to operational workflows, such as sector onboarding or budgeting, using stakeholder feedback
- Oversee access to different Engineering tools and systems, collaborating with IT and Infosec to ensure secure and efficient access
- Direct the execution of department-wide engineering events and manage logistics
- Partner with Facilities on office space planning and office expansion as needed
- Maintain and enhance tooling automations (Smartsheet, Slack workflows) to support operational efficiency
