Requirements
- 3+ years of experience in participant recruitment, talent outreach, lead generation , or similar
- A knack for finding hard-to-reach people - especially in B2B, professional, or niche communities
- Comfortable with cold outreach , following leads, and getting creative with how you connect with the right individuals
- Organized and confident managing multiple timelines, tools, and conversations at once
- Friendly, professional communicator - someone who brings empathy and clarity to every interaction
- Experience working in collaborative teams and supporting others operationally
- Proven experience recruiting hard-to-reach audiences - especially B2B decision-makers, niche professionals, or expert users
- This experience may come from research recruitment , B2B sales prospecting , casting/talent production , or community building
- Strong hunter mindset : creative, persistent, and strategic in how you find and engage the right people
- You enjoy digging, experimenting with channels, writing compelling outreach, and building rapport quickly
- Skilled in qualifying leads/participants through structured criteria or discovery calls
- Comfortable scheduling across time zones , managing communications and follow-ups in a polished, human way
- Experience managing participant or lead databases , pipelines, and tracking tools
- Familiarity with incentivization and consent processes (or equivalent in sales, events, or casting contexts)
- Experience maintaining tools such as Calendly, UserInterviews, RespondentIO, Monday.com , or other participant CRM systems
- High level of digital organization - capable of keeping systems, templates, and shared folders tidy and version-controlled
- Comfortable supporting researchers with tooling questions, access issues, and workflow improvements
- Familiarity with organizing internal knowledge systems like Confluence, Notion, or Google Drive
- Experience coordinating with contractors or vendors (e.g., collecting documentation, onboarding materials, NDAs)
- Basic familiarity with invoice tracking, participant payments , and coordination with finance or legal teams
- Comfort navigating compliance processes lightly and professionally (e.g., ensuring proper documentation and approvals)
Responsibilities
- Actively collaborating with the research team to define participant profiles, screening criteria, and recruitment strategies at the start of each study
- Identifying and reaching out to potential participants across diverse user groups
- Screening candidates to ensure they meet study criteria and quality standards
- Coordinating and scheduling sessions across multiple time zones, managing communication and logistics end-to-end
- Handling participant incentives, consent forms, and follow-up communication with care and professionalism
- Maintaining and optimizing participant databases, recruitment pipelines, and tracking tools to support ongoing research needs
- Maintain and optimize digital research tools (e.g., scheduling platforms, CRM systems, panel tools)
- Own and organize our internal research knowledge systems - ensuring that research documents, templates, playbooks, and findings are easy to access, up to date, and well-structured
- Keep shared research resources tidy, version-controlled, and researcher-friendly
- Act as a go-to support person when the team needs help accessing or navigating internal tooling
- Supporting documentation and coordination for external contractors
- Helping track invoices and participant payments
- Collaborating with finance or legal teams when needed
