Join HeadQuarters, a global start-up supporting US cannabis companies, as an Accounting Clerk specializing in Accounts Payable. Key responsibilities include processing invoices, managing vendor accounts, handling employee expenses, and assisting with month-end close. Additional responsibilities involve applying customer payments, generating AR reports, and supporting collections. The ideal candidate possesses an Associate's or Bachelor's degree in a related field and 3+ years of relevant experience.
Requirements
- 3+ years of experience in an AP/AR or general accounting role
- Proficient in Microsoft Excel and accounting software (e.g., QuickBooks, NetSuite, SAP)
- Strong attention to detail and organizational skills
- Ability to manage multiple priorities and meet deadlines
- Excellent communication and problem-solving skills
Responsibilities
- Review, code, and process invoices accurately and in a timely manner
- Match invoices to purchase orders (PO) and resolve discrepancies
- Perform vendor account reconciliations to ensure accurate balances
- Prepare and schedule regular payment runs (ACH, checks, wires)
- Review and record employee expenses in accordance with company policy
- Monitor and control utility bills, ensuring timely booking and payment
- Assist in month-end close by preparing AP-related accruals
- Track and allocate prepaid expenses and deposits appropriately
- Apply customer payments to open invoices, ensuring accuracy
- Generate and maintain the AR Aging Report as per management specifications
- Support collections efforts by providing aging and payment information
- Assist with customer account reconciliations and resolve discrepancies
Preferred Qualifications
Associate’s or Bachelor’s degree in Accounting, Finance, or related field preferred
