Join our client, an established Industrial Machinery Manufacturing company, as their Admin Officer! You will oversee daily administrative operations, ensuring a well-organized office environment. Responsibilities include managing office setups, contract renewals, procurement, import documentation, and coordination with suppliers and logistics providers. You will maintain inventory accuracy, negotiate freight rates, and ensure compliance with regulations. This is a permanent, full-time position currently working from home, with future office locations in Manila or Quezon City. Requirements
- Have a Bachelor's degree in any relevant field
- Have at least 3-5 years of experience in office management in any industry
- Have experience in handling import documentation
- Have excellent communication skills, with the ability to interact with employees and suppliers
Responsibilities
- Manage day-to-day administrative operations, ensuring a well-maintained and organized office environment
- Support office setup process, including coordinating moving logistics and liaising with contractors for renovations or furniture procurement
- Monitors the renewal of contracts such as building, mobile accounts, fire extinguisher, and other administrative requirements
- Process and monitor purchase orders for maintenance supplies, housekeeping supplies, office supplies, and furniture/equipment
- Prepare import documents and coordinating the receipt, storage, and distribution of goods within the warehouse facilities
- Coordinate with suppliers, freight forwarders, and customs brokers to manage shipment schedules
- Maintaining accurate inventory records and stock levels
- Negotiate freight rates and manage contracts with logistics service providers
- Ensure compliance with relevant laws and regulations governing the importation and procurement of materials
- Performs other tasks that may be assigned by the management
Preferred Qualifications
- Have an understanding of HS codes and their application
- Be familiar with customs declarations, duties, tariffs, and import permits/licenses
- Have knowledge of Incoterms and their impact on shipment responsibilities and costs
- Have awareness of transport modes and their documentation (e.g., air waybills, sea waybills)
- Be familiar with contractor agreements, certificate of insurance and compliance management
- Have an understanding of import regulations, customs procedures, and international trade policies
