Summary

Join DEPT® as an SEO Operations Manager and become the operational backbone of the SEO department. You will be responsible for financial coordination and billing, process innovation and tooling, and cross-functional communication. This role requires 2-4 years of project or operations management experience, advanced Google Sheets/Excel skills, and a proven track record of building and scaling processes. You will work with various teams, including Finance, Sales, and other marketing functions. The ideal candidate is highly organized, detail-oriented, and a clear communicator. Requirements

  • 2–4 years of project or operations management experience —agency, consultancy, or in-house marketing org preferred but not required
  • Advanced mastery of Google Sheets or Excel (pivot tables, complex lookups, basic scripting/macros)
  • Proven track record of building and scaling processes, playbooks, and automations that increase team efficiency
  • Strong analytical orientation —comfortable interpreting budget vs. actuals, utilization reports, and other operational KPIs
  • Extraordinary organization and attention to detail ; able to manage multiple concurrent workflows without dropping balls
  • Clear, confident communicator with experience running efficient meetings and translating operational data into business language

Responsibilities

  • Own month-end cost-tracking spreadsheets, pass-through expenses, and vendor costs against client budgets
  • Guide monthly invoices; partner with Finance to resolve discrepancies and hit billing deadlines
  • Identify manual, error-prone tasks and spearhead automations (e.g., Zapier, Google Apps Script, Looker Studio) that save time and improve data accuracy
  • Evaluate and roll out new workflow or reporting tools; lead training sessions and create user guides to ensure smooth adoption
  • Lead concise weekly status meetings, publishing clear action items, risks, and decisions for stakeholders in SEO, Paid Media, Creative, and Finance
  • Support the Sr Manager with requests from Finance, Legal, and Procurement on matters such as SOW and PO management
  • Prepare operational performance read-outs for department leadership, highlighting trends in utilization, burn rate, and efficiency gains

Preferred Qualifications

Background in working with Finance teams on billing or revenue-recognition processes
