Summary

Join our team as a Business Operations Associate to manage Chromatic's day-to-day business operations. You will contribute to various business aspects, improving operational efficiency, leading revenue-related processes, and collaborating cross-functionally. This fully remote position, based in the US or Canada's Eastern Time Zone, involves streamlining processes and scaling a fast-growing business. Responsibilities include customer support, revenue management, team support, expense and vendor management, knowledge management, and participation in special projects. The role requires a Bachelor's degree or relevant experience, strong attention to detail, excellent communication skills, and enthusiasm for learning new tools.

Requirements

  • Bachelor’s degree or 1+ years of relevant experience
  • Strong attention to detail in managing processes and deliverables
  • Excellent interpersonal and written communication skills
  • Enthusiasm for learning new tools (e.g., Stripe, HubSpot, Intercom, Ramp, Cledara)

Responsibilities

  • Respond to customer inquiries via email and Intercom, providing guidance on billing, account management, and ad hoc requests
  • Monitor failed invoices and follow up with customers for payment collection
  • Upload invoices to customer portals, ensuring all necessary information is included for processing
  • Ensure timely completion of vendor assessment documentation, including questionnaires and security assessments
  • Audit data and workflows in HubSpot to maintain accuracy and support reporting
  • Onboard new customers by efficiently setting up their accounts in our systems
  • Review received invoices to ensure all required information is provided for payment processing
  • Oversee team expenses to ensure compliance with company policies
  • Verify vendor payments are supported with proper documentation
  • Manage the maintenance and organization of internal documentation (Notion, GetGuru), ensuring new information is regularly documented and up-to-date for team efficiency
  • Collaborate with the Business Operations Manager on projects, conducting R&D and support initiatives that improve processes, boost efficiency, and enable scalable growth
