Requirements

  • 2+ years of event planning or marketing support experience
  • Experience coordinating and executing both virtual and in-person events
  • Strong organizational skills and attention to detail
  • Ability to work independently while maintaining close collaboration with cross-functional teams
  • Flexibility to travel within Chicago for in-person events and meetings, with availability to travel outside Chicago for specific events 3-4 times per year
  • Adaptive, proactive mindset with excellent problem-solving skills
  • Willingness to work in a fast-paced environment and take on varying responsibilities as needed

Responsibilities

  • Assist in planning and executing a variety of internal and external events, from small VIP get-togethers to larger conferences. Handle both virtual and in-person events, with a focus on onsite logistics in Chicago
  • Research venues, support vendor communications, and help manage relationships with vendors and partners
  • Ensure Basis Technologies is well-represented at events by adhering to brand guidelines and overseeing event setup, including signage and branded materials
  • Be available to assist with setup, registration, name badges, and collateral for in-person events, primarily in Chicago. Coordinate with venue staff and troubleshoot onsite issues as they arise
  • Manage event registrations, guest lists, and communication cadences. Assist with creating marketing websites and coordinating email communications for events
  • Assist with post-event surveys and help analyze success metrics for continuous improvement
  • Collaborate with the Field Marketing & Events Manager and other team members to provide seamless event support, both behind the scenes and onsite
  • Manage the marketing team supply closet and inventory, including shipping supplies to events as needed from the Chicago office
  • Keep internal teams informed and engaged with event timelines and deliverables

Proficiency with event management systems

Benefits

  • Primarily remote role, with an expectation to attend events or meetings at the Chicago office approximately once a month
  • Expected schedule: Monday through Thursday, 20-30 hours per week, with flexibility to work additional hours during peak seasons (Spring and Fall)
  • Travel within Chicago for in-person events and the ability to travel out-of-state for select events 3-4 times per year
  • There is an opportunity for this role to move into a full-time position
  • $55 - $65 an hour
