Summary

Join Demandbase as an Executive Assistant and provide comprehensive administrative support to C-level executives. You will manage calendars, travel arrangements, and expense reports, coordinate meetings and events, and assist with executive-led projects. This role requires at least two years of experience as an Executive Assistant to C-level executives in a fast-paced, high-tech environment, proficiency in Microsoft Office and G Suite, and exceptional communication skills. Requirements

  • Must live within a one-hour commute of downtown San Francisco
  • At least 2 years of proven success as an Executive Assistant to C-level executives in a fast-paced, high-tech environment
  • Fluency in Microsoft Office and G Suite on a Mac platform
  • Ability to excel in a dynamic environment, managing multiple executives’ calendars, deadlines, and competing demands with ease
  • Exhibits calm, composure, and confidentiality under pressure while meeting tight deadlines
  • Thrives in changing environments, maintaining an upbeat attitude and flexible mindset
  • Demonstrates a can-do spirit and willingness to assist team members; readily jumps in to solve problems and ensure continuity of support
  • Exceptional written and verbal communication skills; comfortable interacting with internal teams and external stakeholders at all levels

Responsibilities

  • Provide comprehensive administrative assistance for C-level executives, ensuring all day-to-day needs are met promptly and efficiently
  • Manage sensitive information with the highest level of professionalism and care
  • Oversee intricate calendars; schedule appointments; arrange travel itineraries; and process expense reports for executives and their direct reports
  • Organize and attend local on-site and off-site meetings, as well as company events such as team gatherings. Collaborate with facilities teams to ensure seamless communication and logistics
  • Create presentations and organizational charts, and assist with executive-led projects by coordinating tasks, timelines, and deliverables
  • Coordinate all aspects of senior executive visits, liaising closely with office facilities teams to guarantee a smooth and productive experience
  • Attend departmental meetings, document action items, drive agendas, and foster interdepartmental collaboration
  • Work closely with assigned executives to stay aligned with departmental priorities, track progress against goals, and anticipate future needs
