Summary

Join Figma's growing team as an Executive Assistant to the Chief Information Officer (CIO)! You will be responsible for managing the CIO's calendar, travel, and expenses, acting as a delegate for various approvals, and serving as a strategic thought partner. This role involves coordinating meetings, leading large-scale planning, identifying process optimization opportunities, and partnering with internal teams. The position requires 6+ years of administrative experience supporting teams of 30+, excellent communication skills, and the ability to prioritize effectively. Requirements

  • 6+ years of experience in an administrative or support role
  • Supported teams of 30+ people
  • Enjoy working in a fast paced environment and can adapt quickly to changing demands
  • Are an authority at prioritizing and seeing around corners
  • Are dependable, reliable and will maintain strictest confidentiality
  • Have experienced communication skills and can communicate with a wide range of internal and external team members in person, virtually, and over email
  • Are thoughtful, with an optimistic lens that cultivates inclusivity

Responsibilities

  • Run calendars, meetings, business travel arrangements and expenses
  • Act as a delegate for the CIO, signing off of expenses, PO approval, and various other tooling as needed with careful attention to internal policy
  • Be a strategic thought partner to the CIO and their leadership team with a focus on operations, process, and long term planning
  • Drive leadership meetings by coordinating the agenda, taking notes, and moving relevant action items forward
  • Lead large scale planning for monthly and quarterly meetings, coordinating content and slides
  • See opportunities for process optimization throughout team and company processes
  • Partner with internal teams to ensure cross functional alignment on projects, company achievements, and internal events
  • Organize in-person offsites, including working with external venues and internal team members
  • Ad hoc project management

  • An affinity for Figma and an interest in becoming an expert in our product
