Summary

Join Form Health, a virtual obesity medicine clinic, as an Executive Assistant supporting the CEO, COO, and CMO. You will be a strategic partner, managing complex schedules, facilitating communications, overseeing logistics, and anticipating executive needs. This hybrid role requires a minimum of three days per week in our Boston office. You will manage the Boston office, ensuring a welcoming environment. The ideal candidate has 5+ years of experience as an Executive Assistant, preferably in healthcare, digital health, or a high-growth startup. Requirements

  • 5+ years of experience as an Executive Assistant supporting senior leaders; healthcare, digital health, or high-growth startup experience preferred
  • Experience working in a remote-first or hybrid environment with distributed teams
  • Mastery of Google Workspace, Slack, Zoom, and project management tools
  • Impeccable organizational skills with the ability to manage competing priorities under pressure
  • Excellent written and verbal communication skills
  • Proactive, solutions-oriented, and calm under pressure
  • Passion for Form Health’s mission to make evidence-based obesity care accessible and stigma-free
  • Ability to thrive in a fast-paced, ambiguous, and mission-driven environment

Responsibilities

  • Provide direct administrative support to Form Health’s CEO, CMO, and COO
  • Office management for our Boston location to ensure our space is welcoming to guests and provides an employee experience aligned with our company culture
  • Manage complex, ever-evolving calendars, including scheduling across multiple time zones and prioritizing high-impact meetings
  • Coordinate travel, logistics, expense reports, and preparation materials for executive meetings
  • Act as a liaison between the CEO and internal/external stakeholders, ensuring timely and professional communication
  • Prepare agendas, presentations, and follow-ups for leadership meetings, board meetings, and company-wide events
  • Assist with project management tasks and track action items to completion
  • Coordinate executive offsites, virtual events, and strategic planning sessions
  • Anticipate operational needs, solve problems independently, and remove barriers to executive effectiveness
  • Handle sensitive information with discretion and confidentiality
  • Foster a culture of organization, efficiency, and alignment across the executive team
  • Deliver one-off project support as needed
