Summary

Join a family-owned vacation rental management company in Tennessee as an Executive Assistant, providing high-level support to the CEO and COO. This role demands exceptional organizational skills, strong communication, and the ability to manage multiple priorities in a fast-paced environment. You will manage executive schedules, handle communications, arrange travel, and maintain confidentiality. The ideal candidate possesses extensive experience supporting C-level executives, ideally within real estate, and excels in a remote work setting. This is a full-time, permanent position with a Monday-Friday schedule.

Requirements

  • Minimum of 3+ years of experience in an Executive Assistant role, highly preferably supporting C-level executives
  • Experience working with international clients and stakeholders
  • Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), CRM tools, and presentation software
  • Exceptional English communication skills (written and verbal) with a neutral accent
  • Ability to multitask, prioritize, and remain highly organized in a fast-paced environment
  • Strong problem-solving skills and attention to detail
  • Experience managing confidential information with discretion
  • A proactive attitude, with the ability to anticipate needs and take initiative
  • Willingness to work overtime when needed to meet critical deadlines
  • Ability to take on tasks outside the job description when required

Responsibilities

  • Efficiently manage the schedules and calendars of both the CEO and COO
  • Handle email inboxes daily, filtering messages, responding on behalf of executives, and ensuring timely follow-ups
  • Arrange travel, accommodation, and logistics as needed
  • Maintain strict confidentiality when handling sensitive company information
  • Perform general administrative tasks as needed, including occasional support for the broader team
  • Act as a liaison between executives and internal/external stakeholders
  • Communicate on behalf of the CEO and COO with clients, partners, and team members
  • Ensure the leadership team is aligned with company priorities and objectives
  • Assist in meeting preparation, including creating presentations and reports
  • Attend meetings, take detailed notes, and track action items to completion
  • Follow up on deliverables and ensure deadlines are met
  • Coordinate weekly meetings to set priorities and align work agendas
  • Assist with light bookkeeping tasks
  • Handle additional administrative work as needed
  • Provide occasional support on projects outside of core responsibilities
  • Be adaptable and willing to work overtime when necessary to meet key deadlines

Preferred Qualifications

Prior experience in the real estate industry would be a plus
