Requirements

  • 2-3 years of experience in an executive assistant or similar role
  • Experience with insurance and collections processes
  • Proficiency in AP/AR processes and financial tracking
  • Strong Excel and Outlook skills
  • Familiarity with Project Management Tools
  • Excellent coordination and stakeholder management experience

Responsibilities

  • Provide high-level executive support by managing daily operations, prioritizing tasks, and organizing reports, financial data, and project summaries in a structured manner
  • Ensure leadership’s time is optimized by handling routine responsibilities efficiently
  • Manage email correspondence, ensuring timely and clear communication with internal teams and external stakeholders such as vendors, clients, and business partners
  • Act as a liaison between leadership and various teams to streamline workflow
  • Assist with insurance-related documentation, follow-ups, and collections processes
  • Track and report outstanding payments, ensuring timely resolution
  • Oversee AP/AR tasks, ensuring smooth processing of payments and collections
  • Maintain accurate financial records and collaborate with teams to streamline financial data entry and reconciliation
  • Utilize Project Management Tools to monitor project progress, deadlines, and deliverables
  • Assist leadership with structured Excel-based reports, presentations, and financial documents while leveraging tools like Outlook and Excel
