Requirements
- 3-5 years of experience as an Executive Assistant, Project Manager, or similar role
- Experience with LearnDash (WordPress LMS plugin)
- Strong organizational skills with attention to detail
- Proficiency in project management tools (Asana, Trello, or similar)
- Exceptional written and verbal communication skills
- Ability to work independently and manage multiple priorities
- Tech-savviness with tools like Microsoft Office Suite, Zoom, and CRM platforms
Responsibilities
- Provide comprehensive support to the CEO by managing their calendar, prioritizing tasks, scheduling meetings across time zones, and resolving conflicts
- Draft, review, and refine high-level communications, including emails and presentations, with a consistent and professional tone
- Oversee and maintain the learning management system (LMS) on WordPress and LearnDash
- Upload recordings, schedules, and posts
- Manage member communications through email and Mailchimp
- Lead onboarding and member meetings while fostering relationships
- Maintain accurate records of member payment arrangements and renewal dates
- Oversee the planning and execution of training programs, workshops, and events
- Manage stakeholder relationships and maintain detailed project plans to track milestones, deliverables, and deadlines
- Maintain organized and confidential digital records using cloud-based platforms, ensuring proper access control for sensitive information
- Plan detailed travel itineraries, handle last-minute changes, prepare meeting agendas, and track action items to ensure timely follow-ups
Preferred Qualifications
- Background in event planning or the insurance industry
- Experience with cross-functional team collaboration
- Familiarity with HubSpot CRM or similar platforms
