You will provide high-level administrative support, manage the CEO's calendar and communications, prepare for meetings, handle sensitive information, and plan travel arrangements. Requirements
- Advanced studies and at least 5 years supporting a CEO and at least 10 years supporting C-level executives, ideally within a fast-paced environment or technology company
- Experience working for a business of similar size (we are around 130 employees)
- Comfortable working a global schedule to support the North America based CEO spending 1 to 2 weeks a month in the UK and the rest travelling globally and in different timezones
- Ability to communicate effectively and professionally including receiving and prioritising customer, investor and media incoming contacts
- Experience with travel co-ordination and the ability to merge travel trips
- Experience handing complex calendars and schedules
- Strong working knowledge of Microsoft Office suite applications (Word, Excel, PowerPoint)
- An understanding of G-Drive, Google Meet and Teams
- The ability to travel into the Cheltenham office when required
Responsibilities
- Manage the CEOβs daily calendar, scheduling meetings, calls and travel arrangements, ensuring seamless coordination of time and priorities
- Act as the first point of contact between the CEO and internal/external stakeholders, including managing email correspondence and routing requests appropriately
- Prepare agendas, compile briefing materials, and handle follow-up tasks for meetings involving the CEO, ensuring they are well prepared for engagements
- Organise and maintain sensitive and confidential files, documents, and reports. Handle information flow between the CEO and the broader leadership team
- Plan and organise the CEOβs travel arrangements, including flights, accommodations, and itineraries. Assist in coordinating company internal events or offsite meetings as needed
- Prepare executive summaries, presentations, and reports for leadership meetings, board reviews and company-wide communications
- Work closely with the ELT to prioritise the CEOβs workload, aligning on critical company initiatives, high-level communications, and special projects
