Requirements

  • Possess significant experience in a similar executive assistant role, demonstrating a seasoned understanding of high-level executive support and the ability to operate independently
  • Demonstrate exceptional organizational and time management skills, managing a high volume of tasks and maintaining meticulous attention to detail
  • Possess advanced written and verbal communication skills, able to draft emails, prepare presentations, and liaise with stakeholders
  • Exhibit a high level of discretion and confidentiality, handling private and confidential information with integrity
  • Demonstrate proactive problem-solving abilities, anticipating needs and resolving issues efficiently
  • Be willing to be available outside of standard 9-to-5 hours, accommodating the CEO’s schedule
  • Be proficient in Microsoft Office Suite, Google Workspace, and project management tools
  • Possess exceptional relationship-building skills, serving as a trusted representative of the CEO

  • Possess knowledge of the complexities of booking travel, including airline, hotel, visas, and in-person logistical support

Responsibilities

  • Coordinate all professional and personal appointments, meetings, and engagements, including preparing agendas, managing logistics, and ensuring timely follow-ups on action items
  • Plan complex travel arrangements for business and personal trips, including flights, accommodations, transportation, visas, and itinerary management, handling last-minute changes and providing logistical support during travel
  • Organize and prioritize communications, triage the inbox, draft responses, and maintain relationships with key contacts
  • Anticipate the CEO's needs, proactively address challenges, resolve conflicts, and streamline operations
  • Assist with and manage projects, prepare reports and presentations, and maintain organized, confidential access to documents
  • Prepare and track monthly expense reports, manage reimbursements, and sometimes oversee project budgets or household finances
  • Act as a liaison between the CEO and internal/external stakeholders, coordinating calendars, meeting agendas, and travel arrangements
  • Organize corporate and personal events, handling invitations, catering, logistics, and guest management, and take ownership of company event planning and execution
  • Run errands and handle personal tasks, such as shopping and managing household needs
  • Manage private and sensitive issues with discretion, maintaining confidentiality

Benefits
