Summary

Winona is seeking a full-time remote Executive Assistant with corporate legal/financial expertise to provide exceptional administrative support to executives. The role involves managing the executive's calendar, conducting legal research, interpreting and preparing financial statements, and providing general administrative support. Requirements

  • Minimum 2 years of experience as an Executive Assistant or Legal Assistant/Paralegal
  • Experience in business law and corporate law, including familiarity with legal documents, compliance requirements, and regulatory filings
  • Proficiency in financial analysis, with the ability to understand and prepare Profit and Loss (P&L) statements and balance sheets
  • Experience with state filings and other regulatory submissions
  • Advanced skills in Excel and Google Sheets, including the ability to create, manage, and analyze spreadsheets for various business and legal purposes
  • Excellent written and verbal communication skills
  • Strong attention to detail and a commitment to accuracy
  • Superior organizational skills with the ability to prioritize tasks, manage multiple deadlines, and thrive in a remote environment
  • Ability to work independently, manage time effectively, and take initiative
  • Strong internet connection, reliable computer equipment, and video conferencing capabilities are required

Responsibilities

  • Manage the executive's calendar remotely, scheduling appointments, meetings, and travel arrangements
  • Utilize video conferencing tools to facilitate virtual meetings and presentations
  • Prepare meeting agendas, presentations, and other materials
  • Communicate effectively with clients, colleagues, and external parties via phone, email, and video calls
  • Manage and prioritize the executive's inbox, filtering and responding to emails as appropriate
  • Draft and proofread correspondence, reports, and other documents
  • Conduct legal research on assigned topics using online legal databases
  • Assist with the preparation and review of legal documents electronically, ensuring accuracy and adherence to legal standards
  • Handle state filings and regulatory submissions
  • Organize and maintain legal files electronically
  • Track deadlines keeping the executive informed
  • Interpret and prepare Profit and Loss (P&L) statements and balance sheets
  • Assist with financial data entry and reporting analysis
  • Prepare expense reports and reconcile accounts
  • Provide support for budgeting and forecasting activities
  • Utilize project management tools to maintain organization and task flow
  • Maintain digital filing systems and databases
  • Coordinate with other departments virtually to ensure smooth workflow
