Summary

Join Shift Collab, Canada's largest virtual therapy practice, as their People Operations & Recruitment Coordinator! This full-time role supports and enhances people operations, focusing on the employee experience for a team of independent contractor therapists. You will manage recruitment processes, maintain personnel files, coordinate onboarding/offboarding, and organize team engagement initiatives. This remote position requires strong communication, organizational skills, and experience in recruitment and people operations. Requirements

  • Have 2-4 years of experience supporting recruitment (including internships/co-op placements)
  • Have 2-4 years of experience in recruitment and people operations administration
  • Possess strong organizational skills with the ability to manage multiple priorities
  • Possess excellent communication and interpersonal skills
  • Have a proactive, resourceful, and solution-oriented mindset
  • Have familiarity with ATS and HRIS software (Workable is a plus!)
  • Be technically savvy with an open mind to learning new technologies, including AI
  • Have obtained, or be working towards, the CHRP designation with the HRPA
  • Have a quiet, distraction-free workstation at home for focused work, as well as participation in daily team meetings via video conferencing
  • Reside within two hours of the GTHA and be willing to commute into Toronto at least once per month
  • Have a keen eye for detail and a proven ability to consistently follow through on tasks, ensuring high-quality outcomes
  • Be comfortable working independently and efficiently in a remote environment
  • Be able to manage multiple tasks simultaneously, prioritize competing demands, and remain adaptable to shifting deadlines and priorities

Responsibilities

  • Be responsible for job postings, sourcing, screening, and scheduling interviews
  • Manage the ATS used for recruitment (Workable)
  • Manage candidate communications during each stage of the recruitment cycle
  • Conduct background/reference checks, validating credentials and employment experience
  • Support hiring managers throughout the recruitment process ensuring a seamless candidate experience
  • Maintain personnel files and records, ensuring accuracy and confidentiality
  • Gather all new-hire paperwork, validating key information
  • Coordinate, document and communicate payroll changes
  • Support employee and contractor documentation, including contracts, policies, and benefits administration
  • Act as a point of contact for inquiries related to handbooks, policies, processes, or payroll and benefits
  • Assist with time-off tracking, leaves of absences, and other reporting requirements
  • Coordinate onboarding and offboarding processes for employees and contractors, ensuring it’s an organized and smooth transition for all leavers
  • Coordinate employee and contractor onboarding processes and programs, documenting processes and making improvements where recognized
  • Work with department leads to schedule, build, and plan out onboarding schedules for new joiners, ensuring a consistent and smooth integration to Shift Collab
  • Organize team engagement initiatives, wellness programs, and culture-building activities
  • Embed Shift Collabs values into the employee experience at every opportunity
  • Support performance management processes, including check-ins and feedback collection
  • Coordinate employee and contractor offboarding processes, working closely with department leads to create an organized transition for leavers and/or clients

Preferred Qualifications

Have a bachelor’s degree or diploma in a related field
