Requirements

  • Minimum 5 years of senior-level administrative or operations experience
  • Proven experience in a fast-paced, client-facing environment
  • Strong proficiency in Microsoft Office Suite, CRM systems, and database management
  • Excellent written and verbal communication skills in English
  • Exceptional organisational and time management abilities
  • Strong attention to detail and accuracy in all work outputs
  • Ability to work independently and manage multiple priorities simultaneously

Responsibilities

  • Manage and coordinate complex scheduling for senior executives and client meetings across multiple time zones
  • Oversee administrative processes and ensure compliance with company policies and procedures
  • Maintain and update client databases, candidate records, and project tracking systems
  • Prepare comprehensive reports, presentations, and correspondence for internal and external stakeholders
  • Coordinate executive search project logistics and timelines
  • Assist with client onboarding processes and documentation management
  • Support candidate communication and interview coordination
  • Maintain confidentiality and handle sensitive information with discretion
  • Identify opportunities to streamline operational workflows and implement efficiency improvements
  • Assist in developing and maintaining standard operating procedures
  • Support quality assurance initiatives and compliance monitoring
  • Collaborate with team members to enhance service delivery standards
  • Process invoices, expense reports, and maintain accurate financial records
  • Assist with contract management and vendor relationships
  • Coordinate travel arrangements and logistics when required
  • Support month-end and quarter-end reporting activities

Preferred Qualifications

  • Previous experience in recruitment, executive search, or professional services
  • Familiarity with applicant tracking systems and recruitment databases
  • Experience supporting C-level executives or senior management teams
  • Knowledge of employment legislation and business practices
