Requirements
- Love creating order from chaos and helping others feel less overwhelmed

- Are adaptable and have extensive experience across tools like Microsoft 365, task/project managers (e.g., Trello, ClickUp), and CRMs
- Can work independently and bring structure, even if the business owner is moving fast or pivoting frequently
Responsibilities
- Act as a gatekeeper and calendar partnerโsetting appointments, proactively blocking time for deep work, and preventing scheduling overload
- Send reminders and prep notes before meetings to support focus and follow-through
- Organize and declutter the inbox with tagging, categorization, and filters
- Draft or respond to routine messages and highlight time-sensitive or action-needed items
- Help turn email content into actionable tasks in the task manager or calendar
- Support executive function by breaking down large tasks into manageable pieces
- Create weekly check-ins, to-do lists, or visuals (like Trello/ClickUp boards) to help track progress and hold space for accountability
- Proactively follow up on incomplete or overdue tasks without being micromanaging
- Research systems, tools, vendors, or business licensing requirements and summarize options with clear next steps
- Document SOPs or repeatable processes to reduce mental load and build efficiency
- Keep digital files and folders organized in cloud systems like OneDrive or Google Drive
- Manage document templates and data entry in CRMs or spreadsheets
- Draft or send client updates, follow-ups, or intake reminders
- Track ongoing projects and conversations to ensure continuity and avoid things slipping through the cracks
Preferred Qualifications
- Familiarity with licensing and compliance for small businesses
- Prior experience supporting neurodivergent entrepreneurs
- Confidence helping translate โbig ideasโ into action plans or timelines
