Summary

The job is for a Part-time Virtual Administrative Assistant with a focus on real estate operations. The role involves managing back-office tasks, handling communications, maintaining databases, and using industry-specific software. The ideal candidate should have experience in commercial real estate brokering and be proficient in CoStar, LoopNet, MLS, Realmax CRM, and DTX.

Requirements

• High school diploma or equivalent required; Associate’s or Bachelor’s degree preferred
• Minimum of 2 years of experience in commercial real estate brokering or a related field
• Proven experience with industry-specific software such as CoStar, LoopNet, MLS, Realmax CRM, and DTX

Responsibilities

• Manage back-office tasks, including organizing and maintaining files, documents, and databases
• Handle emails and phone calls on behalf of the executive, ensuring prompt and professional communication
• Collect, analyze, and store data relevant to real estate operations, investor groups, and market trends
• Maintain and update databases, ensuring accuracy and accessibility of information
• Act as the primary point of contact for investor groups, coordinating communications and meetings
• Provide direct support to Matt Shaw, assisting with day-to-day operations and special projects
• Utilize industry-specific software, including CoStar, LoopNet, MLS, Realmax CRM, and DTX, to manage real estate listings, track leads, and generate reports
