Requirements

  • Minimum of 5 years of experience as an Executive Assistant or Chief of Staff
  • Strong organizational skills and proficiency in Microsoft Office 365 and project management tools (Asana, Trello)
  • Exceptional communication skills, with experience in drafting high-level documents
  • Ability to manage complex schedules and maintain discretion with sensitive information
  • Familiarity with the finance or insurtech sectors is a plus

Responsibilities

  • Manage and prioritize the CEO's schedule, ensuring seamless communication and task management
  • Organize appointments, meetings, and conferences across multiple time zones, handling scheduling conflicts proactively
  • Draft, review, and refine high-level communications such as emails and presentations, maintaining the company’s professional standards
  • Set up and maintain digital records using cloud-based platforms, ensuring confidentiality and proper access control
  • Plan and manage detailed travel itineraries for the CEO and leadership team
  • Prepare meeting agendas and ensure follow-up on key action items post-meeting
  • Assist in managing special projects, ensuring timelines, resources, and stakeholder communications are on track
  • Support hybrid office operations, including vendor coordination and equipment management

Preferred Qualifications

  • Experience in startup environments
  • Proficiency in Asana or similar project management tools
