Summary
Join Zipdev as an Executive Assistant to support two executives leading a growing building services business. This role requires managing both business and personal tasks, ensuring smooth operations while executives focus on strategic priorities. The ideal candidate is bilingual (English and Spanish), tech-savvy, detail-oriented, and experienced in fast-paced environments. Responsibilities include email and communication management, calendar coordination, sales support, administrative assistance, travel planning, personal assistance, CRM and systems support, and task management. The position offers remote work from Latin America, aligning with U.S. Eastern Time business hours, and a fast-paced, collaborative environment.
Requirements
- Fluent in both English and Spanish (written and verbal)
- Previous experience as an Executive Assistant or Personal Assistant
- Strong organizational skills with the ability to juggle multiple priorities
- Experience supporting sales teams or executives in a client-facing environment
- Proficiency in Google Workspace, Slack, and HubSpot CRM (or similar tools)
- High level of discretion in handling confidential information
- Self-motivated, resourceful, and comfortable working independently
Responsibilities
- Prioritize, organize, and draft professional email correspondence across multiple inboxes
- Coordinate meetings, appointments, and events across various schedules, including both business and personal commitments
- Assist with business development efforts by updating the CRM (HubSpot), researching prospects, and supporting follow-ups
- Prepare documents, manage digital files, and provide general administrative support
- Organize business and personal travel, including booking flights, accommodations, and creating detailed itineraries
- Support with tasks such as appointment scheduling, online orders, event planning, and general life admin
- Utilize HubSpot CRM, Slack, and Google Workspace to support communication, task tracking, and workflow
- Keep track of important deadlines, recurring tasks, and daily priorities
Preferred Qualifications
Knowledge or familiarity with New York City culture and business landscape is a plus
