Summary

Requirements

  • 3+ years of solid administrative experience in an office setting
  • Excellent verbal and written communications, networking, and presentation skills
  • Excellent organizational skills and attention to detail
  • Demonstrated ability to manage complex tasks and prioritize competing demands in order to meet deadlines
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint), expense management and payment software

Responsibilities

  • Oversee the workplace operations and services to enhance employee experience and productivity
  • Manage food and beverage offerings to foster a positive and engaging company culture
  • Manage the office supply inventory through efficient ordering, receiving, and distributing supplies as needed
  • Act as a resource for employees, addressing operational concerns and facilitating solutions that enhance their workplace experience
  • Maintain a safe, comfortable, and productive workplace through effective management of office facilities and equipment
  • Optimize office space utilization through space planning, layouts, and floor moves; facilitating and supervising building maintenance
  • Plan and execute company meetings and events (Town Hall meetings, team building activities, holiday celebrations, Sales meetings, etc.)
  • Manage workplace and business operations vendors (travel, office supplies, caterers, equipment rentals, etc.)
  • Ensure a smooth and efficient office operations
  • Manage visitor reception
  • Handle incoming communications (calls and mail)
  • Assist the People Operations team with onsite interviews
  • Make travel bookings and arrangements
  • Maintain general office cleanliness and presentation
  • Provide other general administrative support to staff as needed
  • Support the CEO, and other executives with appointment settings, travel arrangements, expenses and correspondence when required
  • Maintain office-related content on the company’s intranet site
