Join Auros as our highly organized and efficient Office Manager/Executive Assistant in our New York office, supporting northern hemisphere executives. This role blends office management and executive support to ensure seamless operations and maximize executive productivity. You will oversee daily office operations, manage office supplies and maintenance, coordinate with vendors, and handle mail and bill payments. Executive support includes managing complex schedules, booking appointments, preparing meeting materials, and handling various administrative tasks. Financial management responsibilities involve processing accounts payable, managing invoices, assisting with budget tracking, and coordinating with the finance department. Strong organizational, communication, and financial skills are essential. This is a fully remote position offering a vibrant company culture and continuous learning opportunities.
Requirements
- Proven experience as an Office Manager, Executive Assistant, or similar role
- Excellent organisational and time management skills
- Strong communication abilities, both written and verbal
- Proficiency in Microsoft Office Suite and other relevant software
- Strong financial acumen with experience in payments and reconciliations
- Ability to maintain confidentiality and handle sensitive information with discretion
Responsibilities
- Oversee day-to-day operations of the New York office, ensuring a professional and well-maintained work environment
- Manage office supplies, equipment, and maintenance needs
- Coordinate with landlord, vendors and service providers for office-related matters
- Handle incoming and outgoing mail, including distribution and shipping
- Checking and paying bills
- Manage office lease agreements and related documentation
- Book travel and provide support with arrangements for company offsites
- Provide administrative support to Northern Hemisphere executives
- Manage complex schedules and calendars for multiple executives
- Book appointments and coordinate meetings, including preparation of agendas and materials
- Support with a range of administrative duties including taxation admin and basic accounting/reconciliations
- Manage adhoc requests as needed
- Process accounts payable and manage invoices
- Assist with budget tracking and expense reporting
- Coordinate with the finance department to ensure timely payments and accurate record-keeping
- Manage basic accounts and reconciliations
- Act as a primary point of contact for northern hemisphere operations and support
- Prepare reports and support materials as requested
- Prepare and distribute post-meeting correspondence and follow-up on action items
