This fully remote role involves supporting the Internal Operations team across various functions, including acting as a point of contact between departments, coordinating projects, and assisting with administrative tasks. Requirements

  • 2+ years of full-time operations/administrative experience in a corporate environment
  • Strong tech orientation and proficiency with MS Office and Google Suite (now “Workplace”)
  • Solid understanding of the principles of project management, with attention to execution and follow-through
  • Excellent communication skills – able to explain concepts and thoughts professionally and tactfully
  • Meticulous attention to detail – able to follow through and execute on a high volume of nuanced tasks
  • Extraordinarily process-driven – you have checklists for checklists, so nothing slips through the cracks
  • Ability to work with a strong sense of urgency in a fast-paced setting with a variety of repetitive tasks
  • Must be willing to work core business hours in the Eastern Time Zone (approximately 8am to 5pm EST)
  • A love of rapidly changing technology/software solutions that maximize efficiency and deliver firmwide value
  • Extended periods of focused, seated computer work – approximately 8 hours a day

Responsibilities

  • Support and Monitor Internal Systems : Track and resolve requests or tickets across tools like Salesforce, Wrangle, 1Password, and Ruby; ensure day-to-day issues are handled promptly and accurately
  • Oversee Access & Permissions : Manage user roles in platforms such as QBO, Bill.com , Gusto, Carta, Kantata, Salesforce and Box
  • Document & Improve Processes : Update internal how-to guides, create checklists, and refine workflows to help colleagues navigate new systems or tasks with ease
  • Facilitate Team Access to Client Accounts: Support account managers in setting up online access to clients' banking accounts and other critical systems
  • Support Operations and IT Security Projects: Assist with various projects focused on improving business processes and enhancing IT security measures
  • Coordinate With Outsourced It Service Provider to Add and Remove Systems Access: Provide backup support for the corporate systems access/account activations and deactivations workflows
  • Master Core Operations : Become fully conversant in key platforms (Salesforce, Wrangle, 1Password, Slack, Box, Bill.com , Kruze Control, Kantata, Google Workspace), confidently handling daily maintenance and troubleshooting
  • Refine Access and Follow Security Protocols : Audit and adjust user permissions to match best practices, maintain compliance across the organization’s tools and platforms
  • Develop Cross-Team Relationships : Build strong rapport with key stakeholders—collaborating to identify process gaps, propose improvements, and keep initiatives on track
  • Deliver Tangible Improvements : Whether it’s a new 2FA procedure, a refined Box folder structure, or updated onboarding guides, you’ll make meaningful contributions that boost efficiency and clarity for the entire team

Preferred Qualifications

  • Bachelor’s Degree from an accredited university
  • Experience in a fully remote people-centric culture
  • Experience in a high growth/start-up/entrepreneurial environment
  • Experience in a professional service firm (accounting, consulting, law firm, marketing/PR/advertising, etc.)
  • Experience with newer systems/platforms such as Slack, Salesforce, 1Password, Airtable, Zapier, Box, Kantata, Loom and many others (we are always exploring and embracing new systems, it’s part of our DNA!)
