Requirements
- 5+ years of experience as an Executive Assistant or in a similar role, preferably within a fast-paced or startup environment
- Fluency in English; German proficiency is highly desirable. Mandarin Chinese nice to have
- Exceptional organizational skills with attention to detail, time management, and the ability to handle multiple priorities
- Strong interpersonal skills with a warm and professional demeanor; ability to manage confidential information with discretion
- Mastery of productivity tools such as Notion, Airtable, Zapier, spreadsheets Google. Uses a Mac
Responsibilities
- Manage and prioritize the Executive's calendar, emails, and correspondence to ensure seamless scheduling and clear communication
- Prepare agendas, take minutes, and follow up on action items for executive meetings and client calls
- Provide ad hoc support on personal tasks for the Founder, including handling household administration, managing personal appointments, and coordinating personal engagements which may include but is not limited to family schedule and vacations
- Coordinate domestic and international travel, including transportation logistics, itineraries, accommodations and general preparation for conferences or speaker engagements
- Provide support on special projects, liaising with internal teams and external partners as necessary
- Serve as the primary point of contact between the Founder and various stakeholders, ensuring effective and timely responses
- Organize company events, offsites, and team gatherings with attention to detail and professionalism
- Handle confidential documents, prepare reports, and assist with presentation materials
