Summary

The job is for a Client Onboarding Specialist who will bridge client management and financial operations, work with various brands and franchisees, and facilitate communication between teams. This full-time position requires 2 years of experience in contract specialist, account management, or similar roles, and a BS degree in business or finance is preferred.

Requirements

  • Successful work experience as a contract specialist, account management, or similar position for at least 2 years
  • Exceptional communication and presentation skills
  • Proven contract experience, and ability to manage multiple projects simultaneously

Responsibilities

  • Facilitate the end-to-end onboarding process for new clients by tracking and following up consistently to ensure a timely rollout of projects
  • Gather necessary client information and documentation
  • Coordinate with internal departments to ensure smooth integration of new clients ensuring they have all information and documentation needed
  • Create, review, and approve Statements of Work (SOWs) in collaboration with relevant stakeholders before sending electronic signatures via DocuSign
  • Draft, update, and maintain client agreements and contracts
  • Ensure all client agreements are accurately documented and stored in the appropriate repositories
  • Monitor contract renewals and expirations, initiating necessary actions in a timely manner
  • Create and update agreements in the financial system for invoicing purposes
  • Collect and manage customer ACH agreements for recurring billing
  • Calculate total cost of SOWs for insurance approval or pre-payment
  • Initiate and follow up on client credit reviews and insurance coverage requests
  • Coordinate with the finance team to ensure accurate and timely billing
  • Maintain and organize a repository of valid client documents
  • Ensure compliance with company policies and legal requirements for document retention

Preferred Qualifications

  • Experience in a sales or legal environment a plus but not required
  • Solid understanding and working knowledge of MS Office Suite, Smartsheet, and ConnectWise experience a plus
