Summary
Join Prominence Advisors as a 100% remote, full-time Executive Administrative Assistant, directly supporting the CEO and executive staff. You will provide comprehensive administrative support, manage calendars and travel arrangements, coordinate events, and work on special projects. This role requires strong organizational, communication, and problem-solving skills, along with 5+ years of administrative experience and proficiency in MS Office. An associated degree or relevant experience is needed, with a bachelor's degree preferred. Requirements
- 5+ years of administrative experience
- Associated Degree or relevant experience
- Proven technical skills, proficient in MS Office (Outlook, Word, Excel, and PowerPoint)
- Must be able to sit or stand at a computer and work independently
- Must be able to sit or stand at a computer and work remotely and independently from personal home office
- Must be legally authorized to work in the United States without sponsorship
Responsibilities
- Provide comprehensive administrative support to the CEO, the Executive Team, and the Sales Team, including calendar management and coordination
- Make travel arrangements as needed for the CEO, Executive Team and Sales Team, keeping expense reduction in mind
- Provide event coordination and logistics support for special events (i.e. Sales retreats, Customer meetings, conferences, board meetings, etc.)
- Work independently and within a team on special non-recurring and ongoing projects which may include planning and coordinating multiple presentations and disseminating information
- Maintain a high level of confidentiality and use independent judgment to plan, prioritize and organize a diversified workload. Recommend changes in office practices or procedures as needed
- Utilize excellent organizational, interpersonal, communication, planning, technical and problem-solving skills
- Ensure effective communication is maintained on a professional level with Executive Staff, Customer, and Team Members
- Perform other related duties as assigned by the CEO and/or the Executive Team
